HOTEL INFORMATION:
The host hotel will be the Clarion Hotel and Convention Center located at
9700 Bluegrass Parkway in Louisville, KY 40299. It is located
approximately ten miles from the Louisville International Airport and
provides free shuttle service to and from the airport. The hotel has
complimentary parking, an on-site restaurant, and room service. Guests
will also enjoy the Tropidome, a 16,000 square foot area with an indoor
heated pool, game room and fitness center. There is also a beauty salon,
barbershop, tanning facilities and a billiard room with two billiard
tables and electronic dartboard. In addition to that, there are over 50
restaurants within a two mile radius of the hotel. There are also two
major shopping malls within a few miles of the hotel.
The room rates for the show are $80.00 per night + tax. These rates are
secured for Thursday, Friday, Saturday, and Sunday nights on the week of
the show. The hotel will begin accepting reservations on October 1, 2007,
and the rates will be honored until two weeks before the show.
Reservations can be made by calling the hotel at (502) 491-4830. Special
requests for non-smoking rooms will be honored on a first come - first
serve basis as long as they are available.
If you plan to stay longer than the room block allows, please contact the
show host for information on receiving the same rate for your entire stay.
The show hall is located directly behind the hotel in a dedicated
convention center. No hotel rooms are attached directly to the convention
center. Loading and unloading of displays is very easy at this venue, as
they can be brought in through the front doors or through a garage door in
the rear of the convention center.
GENERAL ADMISSION:
General admission to the show is available for $3 per day, and $5 for a
two-day pass. There will be no early-bird passes for the Friday set-up or
early set-up on Saturday or Sunday. There will be no exceptions to this
rule, as it undermines the security of the show hall. All admission fees
will be collected by and donated to the Louisville Metro Police Explorers.
TABLE/DISPLAY SPACE INFORMATION:
226 tables are available at $70.00 each. The tables are eight feet long
and 30 inches wide. Each table is clothed and provided with two chairs.
Wall space is very limited. Requests are still being taken for wall space,
but I am unable to guarantee that any requests will be filled. The
purchase of table space provides the holder with all-access admission
passes for himself/herself and one assistant. These passes will provide
entry into the show hall on both days of the show as well as the Friday
set-up and early set-up on Saturday and Sunday. The passes must be worn at
all times to gain entry into the hall.
Any collector who has a free-standing display that does not require tables
can also purchase display space at a reduced rate. The display space will
be sold in eight foot sections, and will not include a table or chairs. It
is available for $60.00 per section, and includes two all-access passes
for the displayer and an assistant. A free-standing display is REQUIRED to
purchase this space. Any display that needs a table to support it requires
the purchase of table space.
Nothing shall prohibit a collector from purchasing both table space and
display space together.
TABLE ORDERING INFORMATION:
Table/Display Space reservations for the 2008 National Police Collectors
Show are now being accepted. Reservations can be made by contacting the
show host, Jim Clark, via email at
jmclark0478@insightbb.com.
Tables/Display Space can also be ordered and paid for online using the
link below. For those without email access, you can make reservations via
phone by calling (502) 931-5805 between the hours of 11AM and 11PM Eastern
Standard Time.
Reservations can be made without payment; however, payment must be
received within two weeks of the reservation date or the reservation will
be voided. It is expected that the show will sell out early, so make
reservations early (especially if you have special requests).
Requests can be made for wall space, electrical access, to be placed near
other specific collectors, etc. The show host will make every effort
possible to fulfill these requests, but tables/display space must be
ordered with the understanding that the requests of all collectors may not
be fulfilled.
All table holders who do not order and pay for tables online must send in
a registration form with their payment. Acceptable forms of mail-in
payments are personal check, cashier's check, and money orders. You can
obtain a printer-friendly registration form

SHOW BADGE:
This year's show badge was designed and produced by Paul Bodenhamer of
Cruzan Badge and Emblem. It is available for $75.00. It is a two-tone gold
and silver seven-point star and is hallmarked on the back. There will be a
very limited number of the badges made available at the show. It is
suggested that you pre-order your badge to ensure that you receive one.
You can place your pre-orders by scrolling to the bottom of the page
>>HERE<<.
SECURITY:
Overnight security will be provided from 9PM on Friday night until 8AM
Saturday morning and again from 5PM on Saturday night to 8AM Sunday
morning. This security will be provided by uniformed, off-duty Louisville
Metro Police Officers.
Once the show hall has closed for the day, no collector will be allowed
back inside for any reason. Should an emergency arise that would force a
collector to have to depart unexpectedly after show hours, they will need
to contact a member of the show committee to gain access to the show hall.
HOSPITALITY ROOM:
The hospitality room will be open to all table holders and assistants who
have completed registration for the show. Non-table holders are also
welcome to the hospitality room, but it is requested that they please
email the show host to RSVP.
The hospitality room will have free snacks, chips, sodas, and beer. Mixed
drinks will be available at a cash bar.
At 9:30 PM, the floor in the hospitality room will be open for
presentations by potential sites for upcoming National Shows. Following
all presentations, there will be a vote to determine the future show
sites.
CHARITABLE DONATIONS:
A portion of the sale of each table will go to two charities:
Supporting Heroes: an organization that provides emotional and financial
support for the families of fallen police officers, firefighters, and EMS
personnel in Kentuckiana. For more information on Supporting Heroes, visit
www.supportingheroes.org
Louisville Metro Police Explorers: It is the intention of the show host to
provide financial support for two LMPD explorers to attend the National
Police Explorers Conference. The LMPD Explorers will be providing
assistance to the 2008 National Police Collectors Show by providing door
security during show hours and collecting admission.
AWARDS AND DOOR PRIZES:
The door prizes are donated by the table holders. Each table holder is
provided with one door prize ticket per table purchased, and additional
tickets will be made available for $1.00 each. The money received from the
raffle will go to help with the costs of the show and/or donated to the
charitable organizations listed above. If you have items available for the
raffle and would like to donate them, please bring them with you or
contact the show host.
Awards will be given for Best of Show, Best Badge Display, Best Patch
Display, Best Specialty Display, and Best Historical Display. Each display
is eligible to win only one award.
The show host has assembled a group of well-known and knowledgeable
collectors from various areas of the hobby to judge the displays. The
decision of the judging panel will be final.
REPRODUCTION POLICY (BADGES AND PATCHES):
This policy applies to all areas of collecting, including but not limited
to badges, patches, coins, etc. There are also additional policies listed
below pertaining to other issues that have arisen at previous shows.
INTRODUCTION:
It is the intention of the 2008 National Police Collectors Show host and
committee to establish a strict anti-reproduction policy. We believe that
the show should be designed to promote friendship and the enjoyment of all
aspects of the hobby.
We understand that there is a business end to every hobby, and without the
business aspect, it would be difficult to bring new collectors into the
hobby and it would eventually die. However, we also want the National Show
to be a showcase for the hobby and to encourage new collectors to purchase
and trade wisely for authentic police memorabilia.
We realize that this hobby is a fun and satisfying way for collectors to
make friendships across the country and world. The National Show should be
the pinnacle for all collectors each year and used as an opportunity to
make new collecting friends, bring old friends together, and to be a
destination for new members of the hobby to make connections with
established members of the hobby. It should be pointed out, however, that
we as a group are also maintaining the history of World and American
Police Memorabilia. No historical display is worth displaying unless it
contains authentic memorabilia.
It is for this reason that the following anti-reproduction policy exists
for the 2008 National Police Collectors Show. If you disagree with the
policy, it is okay. We can agree to disagree; however, if you disagree
with it to the point that you can't or don't want to abide by it, then
simply don't attend.
It should be noted that Kentucky law permits the seizure of counterfeit
items sold as authentic items under the state fraud laws. Don't end up
getting your stuff seized and having to deal with criminal charges because
you are too stubborn to abide by this policy.
DEFINITIONS:
Authentic: Any item that was ordered by the agency listed, and used on
either a uniform item or as a token of remembrance or appreciation for
those assigned to that agency, or to those involved in any special group
or task force. This also includes items sold as an official fund raiser.
Reproductions: Any item that is an unauthorized copy of an authentic item.
This also includes items in which the basic design of an authentic item
was copied, but only a few colors were changed.
Fantasy: Any item which was made for a specific agency, group, or event,
but was not ordered or approved by that agency.
Bullion (Patches Only): Patches which are made of gold or silver springs
and are used for presentation purposes on a plaque or blazer. These many
times copy the design of other, all-cloth patches. To qualify under this
definition, these patches must be made of actual metal and not metallic
thread.
REPRODUCTION POLICY:
1. All reproduction items must be clearly marked as such. Tables which
have reproduction items must have them in boxes or bags that are clearly
marked "REPRODUCTIONS" in bold letters on all sides. If they are being
displayed individually, the tables must have a sign taped on the display
surface that states which items are reproductions.
2. All reproductions which are to be displayed alongside authentic items
must be individually marked as such, either with a small sticker or with
permanent marker directly on the surface of the items. If you don't have
time to individually mark the items, then don't display them.
3. If you have several reproductions of one item, then all of them must be
marked or placed in a box or bag that is marked as described above.
4. Signs which say, "Authenticity of these items is unknown", or anything
to that effect, will not be sufficient. If you are unsure as to the
authenticity of any item there will be plenty of reputable collectors
on-hand to advise you. If there is a difference in opinion, then the item
may be sold or traded as an authentic item under the discretion of the
show host.
5. Due to concerns brought to the host's attention by the local offices of
the FBI and TSA, reproduction badges may only be traded and can not be
sold.
6. Bullion patches are easily spotted due to the materials used, and are
exclusively collected by many hobbyists. Because of this, they may be sold
and traded without restrictions. This is the only exception to the
reproduction rule.
7. Fantasy items are permitted and do not have to be marked as such.
ADDITIONAL POLICIES:
1. No current-issue federal badges may be sold or traded at the show,
regardless of authenticity. Commemorative issues, such as millennium or
inaugural badges, are permitted.
2. Current-issue federal badges may not be displayed unless accompanied by
a letter from an authority of the agency stating that the display holder
is entitled to do so. This letter must be printed on official letterhead.
3. The sale of any reproduction badge is prohibited.
4. This show is open to any and all collectors. Law enforcement
identifications will not be checked at the door, and are not necessary for
entry into the show. It is advisable to limit the sale of any badge to
known collectors and/or law enforcement officials. None of us want any
headache involved with selling a police badge to an unknown civilian. This
will be the responsibility of each table holder and not of the show, show
host, or show committee.
5. Department-issued identification cards may be displayed, but the sale
and/or trading of these items is prohibited for obvious reasons. It is our
responsibility to police the hobby, before someone else decides that they
have to do it for us.
6. At nearly every show, there tend to be one or two thefts. Please know
who you are dealing with and do not allow items to leave your tables. Try
to deal with one or two collectors at any given time and make others wait.
Ultimately, any theft from your table is your loss.
7. The show host is a sworn law-enforcement officer with jurisdiction over
the show site. Please report any thefts and/or suspicious activity to him
directly.
PENALTIES:
Hopefully, these policies are clear enough to eliminate any problems. The
final decision on any dispute will be solely that of the show host, and
must be abided by or considered an infraction of this policy. Anyone who
refuses to abide by the show policies will be forced to leave. Most of you
are knowledgeable enough to know if your stuff is real or not.
Table holders will only be given one warning if there is a policy
infraction. A second infraction will require the table holder to forfeit
his/her table(s) and all fees associated with them with no refunds. Anyone
asked to leave is banned from the remainder of the show.
Once again (THIS IS IMPORTANT), Kentucky law permits the seizure of
counterfeit items sold as authentic items under our fraud laws. Don't end
up getting your stuff taken and having to deal with criminal charges
because you are too stubborn to abide by this policy.
